From On-Premise to Cloud Solution:
How GBTEC Laid the Groundwork for Further Growth
How do you modernize an ERP system that has evolved over the years without disrupting ongoing business processes? GBTEC Software AG faced exactly this challenge.
Together with Singhammer IT Consulting AG, the company migrated from the on-premises solution SITE to Microsoft Dynamics 365 Business Central and DYCE. The result: higher data quality, modern cloud-based processes, and project billing that now takes just two days instead of 15.
For this success story , we spoke with Yvonne Cegelski, Team Lead for Order Management & Billing at GBTEC Software AG. She played a key role in the ERP transformation and shared insights into the project’s challenges, decisions, and successes.
Project Highlights at a Glance
- Migration from SITE to the Cloud to Microsoft Dynamics 365 Business Central and DYCE
- Go-live after approximately 10 months of project duration
- Simultaneous Implementation of Business Central, Salesforce, and Power BI
- DYCE Professional Services Suite and DYCE Business Suite in Use
- A Clear Strategy: Standard Solutions Instead of Custom Programming
- Benefit: Project billing reduced from 15 days to 2 days
- Long-standing partnership with Singhammer as a key to success
Background: Existing structures had reached their limits
Before the modernization, GBTEC was using a highly customized on-premises solution. Over the years, numerous customizations and manual processes had become established. The biggest challenges were:
- Significant manual effort required for reporting and accruals
- Numerous Excel-based processes outside the ERP system
- Inconsistent data structures
- Lack of standardization in key processes
- Expiring Microsoft support for the existing solution
“The real trigger was the expiration of Microsoft support for our on-premises solution. Our internal security policies clearly stipulated that we had to switch to a modern cloud system,” explains Yvonne Cegelski, ERP project manager at GBTEC.
It quickly became clear to the software company that the ERP implementation should not merely be a technical upgrade, but rather an opportunity to fundamentally reevaluate its processes and make them future-proof.
The Solution: Cloud ERP with DYCE and a trusted partner by your side
The decision was made to implement Microsoft Dynamics 365 Business Central in combination with Singhammer’s DYCE Professional Services Suite and DYCE Business Suite. As a result, GBTEC now uses solutions for project billing and time tracking, among other things, as well as numerous extensions to optimize daily business processes.
For GBTEC, the ERP implementation was not a fresh start, but rather the next step in a long-standing partnership. The company had already been using Singhammer’s SITE solution. Its previous experience with the software and the team, as well as the mutual trust between the parties, therefore played an important role in the decision to choose DYCE and Business Central.
“The question of switching partners never really came up for us. A long-standing partner understands the processes, the challenges, and the interrelationships within the company. That knowledge is worth its weight in gold when implementing an ERP system.” – Yvonne Cegelski
The Project: Three Core Systems Modernized in Less Than a Year
Initial discussions regarding the investment assessment began in the third quarter of 2024. Following preparations at the end of 2024, the system went live on October 1, 2025.
This was not purely an ERP project. In parallel with the implementation of Business Central and DYCE, GBTEC introduced Salesforce as a new contract-management CRM system and Power BI as a modern reporting platform. Three key enterprise systems had to be coordinated simultaneously.
One of the biggest challenges was migrating the extensive inventory data.
“Data migration was by far the biggest challenge. We spent countless hours analyzing and preparing data from the legacy system and transferring it cleanly to the new system,” recalls finance expert Yvonne Cegelski.
It is worth noting that GBTEC carried out the data migration itself. This in-depth examination of the data led to a thorough understanding of the new processes and the company’s own database.
Another factor in our success was the deliberate decision to stay as close to the standard as possible.
“Many companies are considering how they can adapt the system so that it aligns with their existing processes. It’s often more successful to ask: How do we need to change our processes so that we can benefit more from the standard?” – Yvonne Cegelski
The result: greater transparency, better data quality, and faster processes
GBTEC is already seeing significant improvements:
- Higher data quality and transparency
- significantly better user-friendliness
- Modern Reporting Structures with Power BI
- Simplified and harmonized contract structures
- A foundation for further automation steps
The benefits are particularly evident in project billing:
“We used to take about 15 days to complete project billing. With DYCE, we can now do it in about two days.” – Yvonne Cegelski, Team Lead, Order Management & Billing
In addition, GBTEC is already working on an interface between Salesforce and DYCE to further automate the processing of orders in the future.
Conclusion
For GBTEC, the implementation of Business Central and DYCE was much more than just a technical migration. The project laid the foundation for modern, cloud-based, and scalable business processes.
Yvonne Cegelski of GBTEC speaks very highly of the collaboration with Singhammer:
“I would recommend Singhammer any day. Working with them is professional and straightforward, and we’ve consistently found our points of contact to be highly competent. When a client and a service provider work together as partners and seek solutions together, a project like this can be very successful. That’s exactly what our experience has been.”
