From isolated solutions to integrated cloud processes: How BUCS IT took off with Singhammer
Complex requirements. Clear solutions. This project has set standards. Separate systems became an integrated ERP: Business Central and DYCE now combine financial accounting, trading and contract management - and have accelerated selected processes at BUCS IT by up to 70 %.
The problem: lack of integration between financial software and ERP system
As a fast-growing managed service provider with a broad product portfolio, BUCS IT had grown enormously in recent years - but its internal systems had not grown at the same pace. "We had separate systems for financial accounting and ERP," recalls Nico Vossbeck, Strategic Projects Manager at BUCS IT.
We wanted a system that would really map our processes end-to-end - from accounting and trading to contract billing."

The old solution had become too fragmented.
Added to this was the technological change: "We absolutely wanted an ERP system that worked in the cloud. Cloud was the order of the day - from a technical and business perspective."
The Wuppertal-based company therefore began to look closely at replacing the existing system and found a suitable partner in Singhammer IT Consulting.

The project: demanding requirements, fast solutions, advice at eye level
The launch with Singhammer began in mid-2023, with an intensive workshop and MVP phase laying the foundation.
"We wanted to modernize our entire process landscape," explains Vossbeck. The list of requirements was correspondingly extensive:
- Integrated financial accounting with clean data structures
- Automated, usage-based contract billing
- Standardization instead of special curls
- 100% cloud-capable architecture
- and seamless scalability for the rapidly growing company.
From financial accounting to contract management
Financial accounting went live in spring 2024. "Singhammer helped us enormously back then to really tidy up our financial accounting," says Nico Vossbeck. "The previous service provider hadn't set everything up perfectly. With Singhammer, we laid a clean foundation."
The second major milestone followed just a few months later: the go-live of the commerce module - including order processing, quotations, invoices and one-off services. At the end of August 2024, the time had come, and shortly afterwards the preparatory work for the most complex phase began: the contract module with DYCE SRB (Subscription & Recurring Billing) and DYCE UBB (Usage Based Billing).
"These usage-based models are particularly business-critical for us," explains Vossbeck. "We are a managed service provider and many of our services are usage-based. This means that we need to know exactly how many users, gigabytes or instances a customer consumes each month."
Every month, we collect hundreds of consumption volumes from customer systems via interfaces. In the past, these had to be transferred manually to the contracts. Today, this is automated via DYCE."

Special logics such as inclusive volumes or minimum quantities were also implemented individually. "For example, if managed backup includes 25 GB per user and only the surplus is charged, the system must be able to calculate precisely these quantities dynamically. That was challenging - but Singhammer implemented it perfectly with us in several iterations."
Ambitious schedules - and a team that delivers
The project ran in several sprints:
- Spring 2024: Go-live financial accounting
- Summer 2024: Go-live trade
- January 2025: Go-live contract billing
"We had a very ambitious timeline - and we stuck to it," says Vossbeck. Singhammer proved to be a highly reliable partner.
Vossbeck remembers a scene that had a particular impact on him:
"I was doing a test run at midnight - and suddenly the prices on the invoices weren't right. That's when I knew something was wrong. I immediately wrote an email to the project manager at Singhammer - and the problem was solved the next day. Within 24 hours, from the incorrect analysis to the solution. That was a tremendous achievement by Singhammer."
Situations like this also show that the trust was right.
There were moments when things became critical - but Singhammer's speed of response was impressive. Whenever we really needed a feature, it was there. And when things got tight, the team went the extra mile."

The result: automation, standardization and enormous time savings - thanks to DYCE
A lot has changed at BUCS IT since the introduction of Business Central and DYCE:
We used to need ten days a month for contract invoicing - now we can do it in three to five days. That's an improvement of 50 to 70 %."

Another effect: standardization instead of "special curls".
"We have used the migration to cut out old habits," says Vossbeck. "We used to hold on to some processes because we thought we needed them the same way. Today we know that standardization helps."
The number of individual adaptations is also falling continuously. "We initially had 27 software changes, but now we're down to 17 - simply because we can now map a lot of things in line with the standard."

What began as a problem with two separate systems became a success story of integration, efficiency and partnership.
